Tasks

This list has 191  points and there are 28 members (plus 1 on leave), so we need everyone to do 7 points worth. Please sign up for 3 to 6 tasks, depending on task size.  If you have questions about any of the tasks, feel free to contact Heidi. Any task with a ****** is a task that needs to be filled. You can sign yourself up for a task here on the wiki by clicking on the pencil icon in the upper right hand corner and writing yourself in, or contact Heidi, havnik@gmail.com, and she'll sign you up.

Coordinators

Task list + info access (5 points): Heidi
The task list coordinator is responsible for finding people to fill each job on the task list. The task list coordinator should provide personal reminders to each member as to what they signed up for as the Chaggim approach. Post a completed task list at the Hav. See

Maintain task list, davening, and leyning web pages. Post copies on the bulletin board in the kitchen.

Davening coordinator (5 points): Carolyn
The davening coordinator is responsible for finding people to lead selichot the Saturday before Rosh HaShannah and for all of the Rosh HaShannah and Yom Kippur services, as well as people to give a d’var Torah during RH and a d’var on Yonah during Yom Kippur mincha. The Rosh HaShannah d’var is done on the first day of Rosh HaShannah on odd years, and the second day of Rosh HaShannah on even years (Gregorian calendar). Check in with volunteers as the Chaggim approach to make sure everyone knows what they’re supposed to do. Put together the announcement list and give it to all leaders. 

Leyning coordinator (5 points): Larry
The leyning coordinator is responsible for finding people to leyn all Torah and Haftorah portions. The Rosh HaShannah haftorah is done on the first day of Rosh HaShannah on even years, and the second day of Rosh HaShannah on odd years (Gregorian calendar). The leyning coordinator is responsible for either rolling or find people to roll the Torah throughout the Chaggim (through Simchat Torah). Check in with volunteers as the Chaggim approach to make sure everyone knows what they’re supposed to do. 

Accessibility coordinator (4 points): Ruth B
The HH accessibility coordinator is responsible for making sure that everyone who requests an accommodation gets it, if at all possible. See https://sites.google.com/a/thehav.org/member/forms/hh_accessibility_coordinator 

Childcare coordinator (5 points): Heidi as paid job
Hire childcare staff. Distribute childcare information form, behavior guidelines and allergy policy (check with Nina) to childcare workers. Let the childcare providers know they will be cleaning up the childcare rooms after each childcare session. See https://sites.google.com/a/thehav.org/member/forms/hh_childcare 

Sukkah coordinator (5 points): Inna
Make sure the sukkah gets put up, decorated, and taken down in a timely fashion. This includes putting up walls, posters, ushpizin, stringed fruit/veg. Remember to bring decorations, string, etc., including hammer, nails, safety pins, scissors. 

Arrange for Sandra to do extra cleaning (1 point): Jacob

Usher coordinator (1 point): Jesse
Send all ushers the instructions for the job, send them reminders, and put usher name tags on the kitchen bulletin board for the ushers to use.

Anthology and closet dig (2 points):

Get the anthologies, machzorim, large print material, transliterations, Yuntif kippot, and other Yuntif stuff from the front hall closet under the stairs and set it out on the breakfront and table in the front hall. (During the pre-Chaggim cleanup, the coat rack is removed and a dining room table is put in its place.)

Set up chairs and fans (3 points): Bev, Jacob, Josh
Get chairs from basement and dining room, and fans from office, and wipe them all down. Set up rows of chairs in living and dining rooms. Set up fans in davening, living, and dining rooms. Put one fan in the childcare room. Get extension cords, as needed. Chairs must go out after rugs are cleaned; check with person arranging for rug cleaning.

Sound system (2 points): Merit
Set up mike and speakers before services, adjust the system, be available for problems during services, put away equipment after services.

Stocking supplies (3 points): *******
Put out clean towels, paper towels, soap, sanitary supplies, magazines, and garbage bags in both bathrooms before RH and YK. Put tissues in living, dining and davening rooms. Buy lots of recycled TP, tissues, paper towels, non-chlorine bleached sanitary supplies, MCS-safe soap, and light bulbs as needed. Check with Ralph.

Hire rug cleaner (1 points):  Aliza
Hire a professional rug cleaner. Arrange for someone to be at Hav to open, close up, and pay. Be sure to have rug steam cleaned only - no chemicals! Let chairs person know when cleaning is scheduled.

Flowers (2 points): Jesse
Ask Hav members to bring low-allergy plants to the Hav for the Chaggim and take them away again after Yom Kippur. People lending plants are responsible for their care, i.e. if they'll need watering during that time. Having one plant per room would be good.

Somerville parking and security (1 points): Jesse
Notify Somerville parking and POLICE in advance of our services schedule, including open meals, and get easement of enforcement around Hav during those times including pre- and post-event buffer. Ensure updated yellow half-sheet handouts with info on who to contact if you get a ticket are available at breakfront. Deal with any parking tickets. Erica has sample email and contact person if she is ever not the one to do this.

Kol Nidre study session (1 point): Heidi
Arrange for a study session after Kol Nidre. First contact Joel and see if he wants to lead it. If he does not, then make another arrangement.

Torah and aron covers (2 point): Aaron
Change Torah and aron covers (to white) before Rosh HaShannah. Change Torah and aron covers back to regular covers after Simchat Torah. Do not dry clean covers: not cleaning them increases their longevity.

Signs (1 point): Sarah
Make and put up Yuntif signs: pointers to usher, childcare rooms, bathrooms, take machzor and anthology, no cell phones.

Piles ‘o stuff (3 point): *******

This job now has 2 parts. 1)  Rewrite what was the anthology cover page and childcare page (back to back) with new hours and any new information.  Print up four more schedule pages and post them on the front door, back door, and the bulletin boards in the kitchen and front hall. The schedule should include Sukkot, etc., and time of open meals. 2) Make sure sufficient piles of all of the Hav’s publicity material is on the thingy by the front door in the front foyer. This includes: The so called anthology cover page, childcare page, Hav brochures, newsletters, associate membership forms, envelopes addressed to the Hav which can be used for sending donations. If there aren’t sufficient materials available, get copies made (enough for several years).

Buy new large gabbai calendar (from Israel bookstore).

There is now a clock in the shtender (lectern) or underneath the chairs in the davenning room. Set it up where the davening leader can see it before erev RH1, making sure that the time is set correctly. (1 pt)

This coordinator deals with both housing and meal requests. Help members who need places for holiday meals hook up with those offering meals. Try to find housing, either at the Hav or at members’ homes, for those who request housing. Consult with Meryl for guests at Hav. You are not obligated to find housing or meals for anybody. Make a best effort.

Children’s services (4 points each)

Lead a children’s service for RH day 1 or YK day (both at 11 AM). Leaders determine age range for the service, format, etc. NB: 2015 worked well to divide into the c. 4 and under set and the 5 and over set.

Yom Kippur mincha:   Aaron
On Rosh HaShannah, there are 6 aliyot (5 + maftir) to be handed out. If the first day of Rosh HaShannah is on Shabbat, then there are 8 aliyot (7 + maftir) to be handed out on the first day. On Yom Kippur, there are 7 aliyot (6 + maftir) to be handed out during shacharit, unless it is Shabbat, in which case there are 8 (7 + maftir). Yom Kippur mincha, there are always 3 aliyot to hand out. For all Torah services, hagba (lift) and gelila (tie) must also be given out for both Torah scrolls.

Apples (2 points): 1st Day: Bev 2nd Day *******  Bev will buy all apples, so 2nd day just cut up and serve
Purchase 6 to 8 dozen apples (for both days of RH). Cut up and serve during the break each day of RH.

Work with Nina to purchase snacks that conform with Havurah allergy policy. Inform childcare workers where and what snacks are, and what the Havurah allergy policy is.

Host RH potluck (4 points): *******
After davening on the 2nd day of Rosh HaShannah, the Hav has a potluck for members and guests at the home of a Havurah member. Members can each bring 1 guest.

Coordinate RH potluck (4 points): *******
Organize set up and clean up. Make sure there’s grape juice, 2 challot, new fruit for shehechiyanu, apples and honey. Make sure everyone knows place and time.

Ushers (1 point each)

Sit in designated seat between davening room and dining room. Assist those who have seat reservations and anybody else who has questions or needs assistance. Arrive at least 15 minutes before your service. The complete job description is here.

Caretakers (2 points each)
Before your service, check that the space is neat and orderly. Straighten up anything that needs straightening. For all services except the Rosh HaShannah evening services, make sure the tallitot are out. Check and adjust windows and fans as needed. Check that kitchen and bathrooms have supplies (toilet paper, hand towels, soap, sanitary products), and that the trash in the bathrooms, kitchen, and 2nd floor rooms is under control. Take out trash (and replace bag) if needed. For all services except shacharit, straighten up the space after your service is over. Check the childcare rooms for cleanliness - if they don't look good enough, notify childcare coordinator.

After Neila and beyond

Challot (2 points): Meryl
Buy 9 challot for after YK. Keep out of sight until needed after Havdallah, then bring them out and pass around right after havdallah, during announcements.

Post-Neila breakdown crew (3 points each): Merit, Bev, Cindy, *******, *******
  • Put folding chairs away in dining room and 3rd floor.
  • Put fans away in office.
  • Put machzorim and anthologies in front hall closet under stairs. The machzorim carefully fit in the shelves on the left side of the closet. The anthologies go in boxes which are piled on the floor of the closet. Put other HH and other holiday supplies on top of the anthologies.
  • Remove tape marking aisles from floor.
  • Sweep floors and carpet thoroughly in the living room, dining room and front hall.
  • Return tables from library and front hall to the dining room.
  • Put coat hanger pole back.
  • Cleanup rooms on 2nd floor including sweeping or vacuuming.

Break fast coordinator (4 points): Dvora
Purchase paper plates, bowls, cups, and plasticware for 100 in advance of break fast. Coordinate break fast set up. Communicate to cleanup crew what cookware, bowls, serving utensils, etc. belong to the Hav.

Break fast setup crew (2 points each): Sarah, Erica, Lori
Set up for break fast. Warm and set out food, set out paper plates, etc. (Can't be same people as post-Neila breakdown crew)

Break fast cleanup (3 points each): Erica, Lori,  Shira 
Do a thorough cleanup of the kitchen and areas where people participated in the break fast. Sweep, vacuum, wash the kitchen floor, take out garbage, straighten up as needed. Thoroughly check the second floor (including under and inside furniture) and remove any food. This must be done right after the break fast - meaning that night - so residents’ space is clean and clear, especially the kitchen and back hall.

Buy lulov and etrog (1 point): Aliza
Get a lulov and etrog in time for Sukkot.

Copier (1 point): Jesse
If people request copies of the anthology or other materials, make and mail out the copies.
